Branch funding top tips

Here are some top tips to help with budgeting for your branch. If you have any questions or would like any further advice, your Regional Manager (RM) and the rest of the team at IOSH will be happy to help.

  • Expenditure should always be made with your members in mind.
  • Each branch is required to manage its funds and monitor its expenditure against the agreed figures.
  • Reasonable costs should be included for providing at least one CPD/IPD Member support session.
  • Only budget 66% of total anticipated committee travel and refreshments costs. This reflects more closely what will be spent, as not everyone will attend every meeting, and some may not claim their expenses.
  • Please do not budget for travel and accommodation for members who are attending IOSH Conference as these costs are not subsidised by IOSH. Any places provided by IOSH will be paid for from central funds and should not be budgeted for.
  • Under no circumstances should volunteers be paid for undertaking a role.
  • Where applicable, the branch Chair and Treasurer should review the funding requests of districts before they’re submitted.
  • Given that the budget you set could be managed by a slightly different committee (for example, there may be a different Treasurer or Chair following the AGM), make sure it is realistic and complies with the guidelines. Also, make sure the decisions you have taken are clear and well documented.
  • Give yourself plenty of time to complete the funding templates before the submission deadline (usually early November). Make budget discussions part of your Strategy and Planning day, and dedicate time to agreeing your budget submission at committee meetings during September and October. Please also work with your RM.
  • Your budgets should include local taxes if they are applicable to the expense (for example VAT in the UK).
  • If you hold your committee meeting on the same day and at the same location as a branch meeting, please make sure the costs for the committee are recorded separately. This allows us to measure like for like.
  • Costs for storage of Branch equipment, where this is not offered free of charge, should be included within the Additional Costs section of the templates.
  • It is very important to use the new funding template forms issued each year.
  • Don’t forget that the RMs and the rest of the team at IOSH are here to help and offer advice. Please feel free to contact us.
